Warm Lead Call Script – Heavy Equipment Resale
Use when you’ve spoken before, sent a quote, or the lead is in Attempt/Text / Contacted / Qualified.
1. Opening
Rep: “Hi [Lead’s Name], this is [Your Name] with Big Ass Motors. How are you doing today?”
[Pause – let them answer]
Rep: “Great. We talked a while back about the [Machine / Category]. I wanted to reconnect and see where things stand on your end.”
2. Build Rapport (keep it short)
Rep: “How’s business been for you lately? Still busy with [their project / type of work]?”
3. Transition to Business
Rep: “Are you still looking for a [Machine Type], or has anything changed since we last spoke?”
4. Three Paths
A – Still interested / ready to move
- Confirm exact needs (budget, hours, attachments, location, timeline).
- “Perfect. I’ve got a couple options that match what you described. I can send specs + pricing right now, or we can jump on a quick screen-share. What works better?”
- Push for next concrete step: quote review, deposit, inspection date.
B – Looking to sell something
- Get year, make, model, hours, location, asking price, condition.
- “We can get it in front of our buyer list and list it on Machinio at no cost to you. Want me to send the short listing form?”
C – Not ready right now
- “No problem at all. Would it make sense if I checked back in [30/60/90 days]?”
- Set a specific follow-up date in the CRM before you hang up.
5. Close the Call
Rep: “Great – I’ll [send the info / put the follow-up on the calendar]. Looking forward to helping you get the right machine. Talk soon.”
Email Script 1 – After Missed Call / Voicemail Follow-up
Subject: Quick follow-up – [Machine] for [Company]
Hi [Name],

Discovery Questions (get the real need)
- “What job is this machine going on?”
- “What’s the most important thing – hours, price, location, or specific attachments?”

- “Have you looked at anything else recently that you liked or didn’t like?”
Handling Common Objections
“Price is too high”
“I hear you. Compared to what you were expecting? Sometimes a slightly higher price with lower hours or better undercarriage actually costs less over the next two years. Want me to show you the numbers?”
“I need to think about it”
“Of course. What specifically do you want to think through – the machine itself, the money, or timing? If I can clear that up now it might save you a step.”
“I’m talking to another dealer”
“Makes sense. What would make this the clear winner for you? If we can match or beat on the important points, I’ll make it easy to move forward today.”
Closing Techniques That Work in Heavy Equipment
Final Tips
- Always confirm the next step out loud before hanging up.
- Update the CRM stage and notes while the call is still fresh.
- If they go quiet after a quote, use the short missed-call text + Email Script 3 within 24–48 hrs.
- Listen for buying signals: “How soon can it be here?”, “What’s the deposit?”, “Can you hold it?” → close immediately.
- Keep energy calm and confident. You’re solving a problem, not begging for a sale.
